Park Safe Network ("we", "us") operates a members-only network of secure HGV parking across the UK. This notice explains what personal data we collect, why, who we share it with, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Park Safe Network is the data controller for the personal data described in this notice. For any privacy question or to exercise your rights, contact us at info@parksafenetwork.co.uk.
2. What we collect
- Account data: name, email address, password (stored hashed, never readable by us).
- Company application data: company name, contact details, fleet size, yard address and photos, submitted when you apply to join.
- Driver data: name, email, phone number, vehicle registration and licence number, added by your company so we can manage bookings and identify you on arrival.
- Booking and stay records: which yard was booked, for which night, arrival and departure times, and any review you leave.
- Call records: when a driver dials a site access number, we log the caller's number, the matched booking and the call outcome so the site can be notified.
- Technical data: server logs (IP address, time, requested page) kept for security and troubleshooting.
3. Why we use it (lawful bases)
- To run the service you signed up for (contract): accounts, bookings, arrival notification, reviews, support.
- To keep the network safe and improve it (legitimate interests): vetting applications, preventing misuse, security logging, service analytics drawn from our own records.
- To meet legal obligations: accounting and tax records where payments apply.
We do not sell personal data, and we do not use it for third-party advertising.
4. Automated arrival calling
When a driver calls a yard's access number, our telephony system matches the calling phone number against that night's bookings to identify the driver, then notifies the site that the driver is on the way, including the booking reference and bay. The phone number is used only for this matching and is visible only to your company and the site being visited.
5. Who processes data for us
We use a small number of service providers (processors) to run the platform. Each processes data only on our instructions:
- Neon (database hosting, AWS London region, UK)
- Railway (application hosting)
- Resend (transactional email, such as booking confirmations and sign-in codes)
- UploadThing (image storage for site photos and avatars)
- Twilio (telephony for the arrival calling system)
- GoCardless (Direct Debit payments, when billing is active)
- Google / Microsoft (optional social sign-in, only if you choose to use it)
Some providers process data outside the UK. Where they do, transfers are protected by UK-approved safeguards such as the UK International Data Transfer Agreement or UK Addendum to EU Standard Contractual Clauses.
6. How long we keep it
Account, company and driver records are kept while your membership is active and removed or anonymised when no longer needed after it ends. Booking and call records are kept for the operational and accounting periods required by law. Server logs are kept for a short rolling window for security.
7. Your rights
You have the right to access your data, correct it, have it erased, restrict or object to its processing, and receive a portable copy. To exercise any of these, email info@parksafenetwork.co.uk. You can also complain to the UK Information Commissioner's Office at ico.org.uk.
8. Cookies and local storage
We use only essential cookies: a session cookie that keeps you signed in. We use your browser's local storage for functional preferences and caching (for example, remembering that you have seen the welcome tour). We run no advertising, analytics or tracking cookies, which is why you do not see a cookie consent banner.
9. Changes to this notice
We will update this page when our practices change and revise the date at the top. Significant changes will be announced to members by email or in the app.
